Most people don't use templates to guide them during the proposal-creation process. Instead, they just try to slog through it on their own. Without a proven framework to guide them, they waste countless hours creating bland, ineffective proposals. No wonder why so many designers hate this part of doing business! The best clients expect to see proposals before they'll hire anyone. ![]() ![]() ![]() But the prospect of sitting down at your desk again to churn out yet another boring document is an absolute nightmare. A lot of web designers write what they think clients want to hear But the “proposals” they submit aren't really proposals at all. They're nothing more than glorified project estimates. The Key Difference Between Proposals and Estimates The first step in creating more persuasive proposals? Understanding the fundamental difference between a proposal and an estimate. An estimate is a simplistic document that rarely runs more than a few pages. It breaks down how much different aspects of the project will cost, and occasionally when the client can expect certain milestones to be completed. ![]() An estimate can work when you've already worked with a client before and they're well aware of the value you can deliver. It's suited for tiny, one-off projects where the client's predominant focus is cost. Landing lucrative design projects requires something more. A lot of designers submit a bare bones “proposal” that really functions like an estimate. Without persuasive language to accompany the price and service details, they leave potential clients with nothing more to go on than cost. This is an awful situation for most of us to be in. Because most of us can't run a sustainable business by offering the cheapest prices around, submitting estimates alone removes our competitive advantage. Why would anyone hire you if there's a cheaper estimate on their desk? ![]() An effective proposal, is a persuasive sales document. It doesn't just show potential clients how much things will cost or when they will get done. So, how much more persuasive is a proposal than an estimate? Found that 43% of proposals won the project. The success rate decreased to only 35% of estimates. The Elements of Creating an Effective Proposal To create a truly persuasive design proposal, include the following elements: • A Cover Page Letter ( only in certain situations) • Demonstrate you understand their problems with a Problem Statement • Explain your Recommended Solution • Explain the Benefits of your solution • Explain the Project Fees • End with a Call to Action to buy Every web design project is a bit different, but you can apply this framework to all of them. Doing so creates a persuasive structure designed to get – and keep – the client's interest. Then it's just a matter of adjusting the details to suit the particular project. Once you understand the purpose of each proposal element, it's a lot easier to know what to talk about and what to leave out. So let's run through those now: Cover Page Letter In some situations, you'll want to write up a short cover letter to kick off your proposal. You won't need them when submitting a bid on some projects – especially if they're straightforward and smaller in scope. The ideal circumstances to use a cover letter are when you are: 1) bidding on a long-term, complex project with lots of moving parts, 2) trying to land a large corporate client, or 3) both. A brief cover letter is the perfect way to connect with overwhelmed executives. Because so many corporations are used to complicated hierarchies and lots of red tape (many of them use cover letters in intraoffice memos), this communication style is something they're quite comfortable with. Notice the emphasis on brief. Do everything in your power to limit your cover letter to one page. What should a cover letter do? The mission is simple: get the reader's attention and convince them to engage with your full proposal. It's a persuasive sales document, not an information dump. The structure of an effective cover letter actually mirrors the five elements you'll include in your full proposals. Present your letter in this order: • Identify the client's key business needs • Recommend a solution to meet those needs • Explain your basic approach • Mention a few things that separate you from competitors • Wrap it up with a call to action (give them a simple step to take to contact you) Because the ideal cover letter is brief, space constraints limit how much detail you can include. Keep your cover letter “high level” and save all the technical minutiae for the full proposal. Remember, there's no need to convince someone to hire you with this letter alone. The sole objective is to get them reading the full proposal. Problem Statement Before you can write a good Problem Statement, you need to understand the prospect’s deepest pain points. Often, they aren't what you think. For instance, say a local car wash is in the market for a new website. It's easy for a web designer to assume what the problems are. They've had the website for years. Now it looks old and dated. Based on those (often faulty) assumptions, the designer might write a Problem Statement like this: Squeaky Clean Car Wash needs a fresh new look for their website, including a complete redesign of the site and a new logo. However, when you assume you know what the prospect’s problems are, you’re often wrong. You just end up regurgitating the project specifications without every truly understanding the deeper issues. A great Problem Statement cuts beneath “surface level” project requirements. No business wants to invest in a new website design just for the heck of it. There are deeper business issues – things like loss of market share, declining sales, and unhappy customers – driving them to offer the project. It's up to us to connect the dots. Once we understand why the client is looking for help, we can write a Problem Statement that demonstrates true understanding and wins trust. Using this approach, web designer #2 would do research and ask the prospect about their most pressing business problems. As it turns out in our example, the biggest issue is that customers are having a hard time finding the car wash on a side street. Several have already complained. Armed with this information, web designer #2 could write the following Problem Statement: Squeaky Clean Car Wash needs a website that helps customers navigate to the car wash, whether they’re viewing the site from a desktop computer or a mobile device. If you owned Squeaky Clean Car Wash, which designer would you hire? When you write a Problem Statement that shows you understand the deeper issues beneath the project, you’ll win prospects over even if you charge more than your less persuasive competitors. Recommended Solution After you’ve honed in on the business problem, it's time to present a solution and convince the client you’re the best person to implement it. A lot of web designers recognize this. But the way they try to explain themselves – in their own words – causes the client's eyes to glaze over. Take a look at this example Recommended Solution: Acme, LLC, will create a new company intranet to increase cross-department synergy and enable knowledge management throughout your company. This intranet will achieve that through: (1) an employee directory, (2) a blog for internal corporate announcements (3) a comprehensive employee survey facility for 360-degree feedback. There are two major problems with Recommended Solution sections like this. First, the client doesn’t understand all the technical jargon. And second, he or she doesn’t care about the specific processes or technology involved; they only care about the results. So what should you do instead? Use your client’s words. To do this, take notes when you talk to your prospect. A good Q&A session might go something like this: Q: Why are you looking to create a new company portal? A: We’d like to improve internal communication. Can you tell me about some specific problems you’re seeing due to this lack of communication? Every year in our employee survey, communication is one of the biggest complaints. Employees say that we don’t listen to their concerns and suggestions on how to improve the company. These kind of notes are easy to integrate into our proposals: Every year, the employee survey shows that employees feel like management doesn’t listen to their concerns and suggestions on how to improve the company. The new company portal is going to change that perception. This portal will. The fact is, most people love to hear themselves quoted back to them. And, because their language will center on the end results and be framed in terms they understand well, it's much more likely to resonate. Finally, by using your prospect's own words, you'll quickly create empathy and trust. Benefits Your Benefits section needs to sell, sell, sell. Unfortunately, many web designers write generic content here or, even worse, just copy and paste some template filler. A lot of designers might shy away from the idea of selling because they don't want to be underhanded or overly aggressive But you don't have to. The most effective way to sell is to logically connect your recommended solutions to tangible business benefits. Remember, those are exactly what a prospect is looking for – and why they offered the project in the first place. Let’s say a recipe website asks you for some SEO work to improve their Google juice. Many proposal writers would see this as a chance to copy and paste a whole section about “How SEO Can Improve Revenue.” You might think it saves you time, but stale filler content is the kiss of death. Our research found the best proposals contain between 50 and 80% fresh content. Plus, think about it if your prospect didn’t already know that SEO can improve revenue, would they have asked anyone to write a proposal in the first place? Instead, write fresh content that explains specifically how you will help your client. It takes a little longer this way. You might ultimately end up submitting fewer proposals than before. But they'll be highly targeted – and win more bids. For instance, here’s one way you could write the Benefits section for that recipe site: According to your Google Analytics report, Meatball Recipes already gets 100 visits a month from visitors searching for 'spicy meatball recipe.' Your site ranks #12 for that keyword, which means you're on the second page on Google. We estimate that the #10 result gets 1,000 visits a month. So even a slight improvement to rank #10 for 'spicy meatball recipe' would 10x your traffic for that keyword. The best part: once you set up this dynamic template content, it's almost just as recyclable as stale template filler. If your next proposal is for, say, a local bike shop, you could use this same basic text and just change the keywords and numbers. Project Fees We’ve already touched on the key difference between estimates and proposals. To recap, estimates focus on price, or what will be done and how much it costs. Proposals, on the other hand, focus on the value you will create. But proposals also include the pricing information you'd find in an estimate. When you frame the Project Fees section correctly, you can also turn it into a persuasive sales element. Here's a quick example of the wrong way to write a Project Fees section: Installation of Wordpress $ 500 Purchase of custom theme $ 50 Customization of custom theme $ 250 Creation of 17 Wordpress pages $ 500 SEO optimization audit $ 300 Total cost $1,600 Do you see the problem here? It’s just an itemized list of specific services and fees, and it includes a lot of jargon the client won’t understand. Pricing like this makes it way too easy for a time-pressed client to get overwhelmed or confused. Instead, go back to the client’s business problem and answer this question: how much will it cost to solve? To create a more compelling Project Fees section, tie your fees directly to the Recommended Solution, and keep them high-level so they’re easy to understand. Here’s how you might do that, building on our previous example: Create website with custom theme $ 800 Write website content $ 500 SEO services $ 300 Total cost $1,600 Notice how there are fewer numbers involved? It's easier to digest for the client. Your client doesn’t want a detailed list of every expense, they just want to know how much it will cost to solve their problem. Call to Action Okay, so you’ve written a persuasive sales document that outlines the problem, the solution, the benefits, and the price. Are you done? Not quite yet! The client still has to take action and hire you. You can't afford to just cross your fingers and hope they'll call. Instead, include a clear call to action to let the client know exactly what they should do to get the project started. There’s a secret about selling that we haven’t mentioned yet. And it’s something you already know, but are probably underestimating. Here’s the secret: your client is extremely lazy, busy, or overwhelmed. Probably a combination of those things. Okay, so you already knew that. But do you fully appreciate the extent of it? Believe it or not, we tend to give too much credit to our prospects. In the perfect world of our imagination, clients read your awesome proposal, are convinced you can solve their problem, and immediately pick up the phone to hire you. In the actual world we live in, clients read your awesome proposal and are convinced. They might forget to call you right away. They certainly won’t print out your proposal, sign it, fax it back, and mail you a check. By the time you call or email a few days later, they’ve forgotten how awesome your proposal was. They’re just not as excited as before. So how do you strike when the iron is hot? Use a one-click call to action in your proposals. The easiest way to do this is abandon the world of paper and PDF proposals and switch to using online proposals instead. Then you can make your call to action a giant button that prospects can click to accept your proposal. This sounds like such a small thing to do. You’re probably thinking that it won’t have much impact Actually, it has a huge impact. Our research found that online proposals are accepted 60% faster than traditional proposals, and they’re 18% more likely to be accepted overall. Why does this work so well? There are two reasons. First, with online approvals, your clients don’t need to print, sign, scan, and email or fax your proposal back to you. Everything is online, in one place, and simple to execute. You remove all the obstacles to taking action. Second, and more importantly, by making the next step a click away, you turn your prospect’s laziness into your secret weapon. You make it even easier to accept your proposal than it is to keep on worrying about the problem or even read the next proposals. You’re striking while the iron’s hot. And the Finishing Touches In addition to the key elements above, a proposal for a large project should include an estimated schedule. This gives clients a timeframe so they can better anticipate which parts of the project will happen when. After you write a basic outline for each section, create a simple header and footer that will show up on every page to “brand” your proposal and give it a professional look. This sounds easy, but it can be a little tricky. You want your proposal to look great and hint at your creative abilities – without doing so much that protects get distracted from the content. If creating your own proposal templates from scratch sounds like too much work, there’s an easier way:., all you have to do is select the template and provide the content. Your proposals get to the client faster, and all they need to do is click a button to say “yes'. Whether you opt to use software or go the DIY route, following a persuasive proposal structure will show every prospect just how much value you can create. And it's that clear expression of value that lands gigs and justifies higher rates! Turning your customized site or business solution into a template is an extremely useful and very powerful capability in SharePoint 2010. Once you start to package your solution as a template, you begin to realize SharePoint’s potential as a platform for business applications. This article describes SharePoint templates, what they’re used for, how to turn your site into a template, and how to activate that template on the server. In this article What is a SharePoint site template? SharePoint site templates are pre-built definitions designed around a particular business need. You can use these templates as they are to create your own SharePoint site and then customize the site as much as you like. You’re probably familiar with the default site templates, like Team Site, Blog site, and Group Work Site as shown here. In addition to the default templates, you can create your own site template based on a site you’ve created and customized in SharePoint. This is a powerful feature in SharePoint that allows you to create a custom solution and then share that solution with your peers, the broader organization, or outside organizations. You can also package the site and open it in another environment or application like Microsoft Visual Studio and further customize it there. When you save your site as a template, you create a Web Solution Package, or WSP. A WSP is a CAB file with the solution manifest. The solution you create gets stored in the Solution Gallery for the SharePoint site collection. From there, you can download a copy of the solution or activate it on the server. Note: The WSP you create is a partial trust user solution that has the same declarative format as a full trust SharePoint solution. However, it does not support the full extent of feature element types that are supported by full trust solutions. What gets saved in a template When you save your SharePoint site as a template, you’re saving the overall framework of the site – its lists and libraries, views and forms, and workflows. In addition to these components, you can include the contents of the site in the template, for example, the documents stored in the document libraries. This could be useful to provide sample content for users to get started with. Keep in mind that this could also increase the size of your template beyond the default 50 MB site template limit. Most of the objects in a site are included and supported by the template. There are a number of objects and features not supported however. You don’t need Visual Studio to create your solution, and you have to access the server directly and run server administrator commands. Just save the site as a template, activate it, and off you go. • Customized SharePoint sites are portable – In addition to deploying a custom solution in your environment, you can download the.wsp file, take it on the road, and deploy it in another SharePoint environment. All of your site customization is conveniently stored in one file. • Customized SharePoint sites are extensible – As a Web Solution Package, you can open your customized site in Visual Studio, perform additional development customization to the template and then deploy it to SharePoint. SharePoint site development, as a result, can go through a site development lifecycle that includes SharePoint Designer 2010, Microsoft Visual Studio, and the browser. As you begin creating custom sites in SharePoint, you’ll discover even more benefits to turning your site into a solution that can be made portable across the organization. Saving a site as a template You can save a site as a template at any time using the template option (Save site as template) on the Site Settings page in SharePoint. SharePoint Designer 2010 makes it easy by providing a Save as Template option in the ribbon, which takes you to this page in SharePoint. Once you save the template, a solution file is created and stored in the Solution Gallery where you can download or activate the solution. To save your site as a template using SharePoint Designer 2010, perform the following steps: • Open your site in SharePoint Designer 2010. • On the Site tab, in the Manage group, click Save as Template. • This takes you to the Save as Template page in SharePoint. • Specify a name to use for the template file in the File name field. • Specify a name and description for the template in the Template name and Template description fields. • To include the content of the site in the site template, check the Include Content box. Note: Including the content of the site can increase the size of the template significantly. Keep in mind that the default size limit for a site template is 50 MB but may be less in your organization. • Click OK to save the template. • If all of the components on the site are valid, the template is built, and you see a message that says Operation Completed Successfully. • To download or activate the solution from the solution gallery, click the user solution gallery link and follow the steps in the procedure below. • Or, to return to your site, click OK. Activating the site template in the solution gallery Once you’ve saved your site as a template, a solution file (.wsp) is created and stored in the Solution Gallery for the site collection. From here, you can download or activate the solution. To activate your site template, perform the following steps: • Browse to the top level site of your site collection in SharePoint. • Click Site Actions and choose Site Settings. • Under Galleries, click Solutions. • To activate your solution, click the pull-down menu beside your solution, and choose Activate. • On the activate solution confirmation screen, click Activate. Your solution now has an activated status in the Solution Gallery. • To download the solution, just click its name in the Solution Gallery. • In the File Download dialog box, click Save, and browse to the location where you want to save the solution. I'm not exactly sure what you mean by 'project proposal', but I can attempt an answer. Generally, I send potential clients two documents when they request a quote from me: an itemized quote (invoice style, usually priced per feature/task based on hourly rate) and a description of the project in as much detail as I can come up with. So, I will usually try to do a write-up of some kind, which includes a minimum of the following: • A description of the key functionality and overall goals of the project • A description of how design for the project will be accomplished • A list of necessary features for the project • As many details about the specific plugins/frameworks that will be used in the project • A rough timeline (or at least some landmark dates), which is dependent on the client delivering assets and paying the deposit by an agreed-upon date. I don't really have a template for this, as people come to me with a wide array of details about the project, and I like to think that I know when to spend more or less time on a proposal. Sometimes it's an email. Sometimes it's a PDF with more design ideas and references included. You get the picture. Does that help? Over the last eight years, I have written hundreds of proposals for WordPress website projects. In the early days, most of them were terrible. Then I started paying attention to what I was putting out and the feedback I was receiving. I started making small incremental changes to my proposals until I found a formula that worked for me. In this article, I’m going to share everything I’ve learned from writing proposals over the last eight years to help you write better proposals for your prospects and win more projects. Disclaimer: my clients are predominantly small to medium-sized businesses. If you’re dealing with enterprise clients you may need to include more detail in your proposals, however, I still think the framework I’m sharing with you here is a good place to start. A Proposal Needs To Propose Something Most proposals I have seen over the years look and feel like fancy brochures or very boring technical documents. I’ve realized that a proposal is actually a document that formalizes what you and the client have already agreed upon. Just like a printed invitation to a wedding that you’ve already agreed to attend. It outlines the details and formalizes the agreement. I think the reason a lot of proposals miss the mark is because the proposer feels like they need to sell themselves in the proposal, when, in reality, if you are using a proposal to sell yourself, then you have failed in your marketing. By the time a client asks you for a proposal, they should already be convinced that you are right for the job. The job of a proposal is to propose a clear and obvious solution to help the client achieve their objectives and solve their problems. It is not a sales document. It is not a marketing brochure. It is not a functional specifications document. Proposals Do Not Need To Be Beautiful When I first started out, I would send proposals as a Word document attached to an email, which in theory could still work. Then I thought my proposals needed to look beautiful because I was selling design services, so I would spend hours in producing beautiful proposals worthy of a design award (it’s amazing what you can do with a template). Nowadays, when I see a proposal that has been “designed” I immediately wonder what’s missing and what they are compensating for. I’m not suggesting that your proposals should not be aesthetically pleasing to look at, however if there’s too much style and not enough substance then there’s a clear problem. Put your effort into making sure your proposal is easy to read, easy to understand, and actually proposes a solution. What To Include Let’s talk specifically about what to include in your proposal. These are the nine sections that I now include in every proposal, in the order in which I include them. Snapshot The snapshot is simply a one to two sentence paragraph that outlines who the client is, the business they are in, and the fact that they have approached you to build a new website for them. Business Needs This section outlines why the business needs a new website. Generally speaking, I will include three to five bullet points here based on what the client has told me. It’s important to understand how the client is going to measure success and include those factors in this section. This is your opportunity to show your client that you care about their success and helping them achieve a return on their investment. Audience Needs This section outlines the target audience for the website and what they need from it. If your client is a brick and mortar business, for example, the target audience will need to find an address and trading hours. Alternatively, if your client is a dance studio, then the target audience will need to find class timetables and pricing. The more you demonstrate that you understand the target audience and why they need to use the website, the more value you are adding to your client’s business. Solution This is where you get to flex your creative muscle and propose a solution to help the business and its target audience achieve their needs. Try to resist listing the features of the website. Demonstrate how these features will benefit the client’s business. For example, opt-in forms may not mean as much to the client as generating new leads. This has been one of the most profitable changes I have made to my proposals over the years. My advice is to practice rewriting features into benefits every opportunity you get. Timeline The timeline simply outlines how long you believe the project will take from start to finish and lists any milestones along the way. For a typical website, my timeline usually includes the following milestones and timing: • Sitemap – One Week • Prototype – Two Weeks • Design – One Week • Development – Two Weeks • Testing and Deployment – Two Weeks Of course, timing will vary depending on the complexity of the site. Investment This is my favorite section. It’s where you get to outline the investment required by the client to activate this proposal and help them achieve their objectives. Hopefully, by this point in the relationship, you have already determined that the client has a realistic budget to achieve their goals. If you are writing proposals without any awareness of the client’s budget then you are wasting everyone’s time. Make sure you qualify your client’s expectations before you spend any time putting together proposals. I have experimented with many different names for this section including “pricing,” “fees,” “fee structure,” “ budget,” “cost,” “spend,” “rates,” “expenses,” “cashola” (I’m not kidding), “how much is it?”, “what’s it gonna cost,” and even “damage.” Why it took me so long to find “Investment” is one of the great mysteries, but I promise you that positioning this as an investment will dramatically improve your chances of getting your proposal accepted. I offer project-based fees these days so I don’t break down line items or components. I once had a client question why “project management” was included in my proposal. She couldn’t understand why we needed to have a dedicated project manager to make sure the project was delivered on time and within budget. So I offered to remove the project manager and add the fee to the development cost. It was a frustrating argument with an inexperienced client but it did make me realize that I had not illustrated the value well enough. FAQ’s Immediately following the investment section are the frequently asked questions. This is where I list the most common questions I get from clients during the proposal process. I answer all of these questions thoroughly in an attempt to cover any objections the client may have while they are reading the proposal. What happens once the website goes live? What about hosting? How long will it take me to rank on page one of Google? What about change requests? What about updates? Can I install my own plug-ins? (By the way, the answer to that question is “No”.) Who handles the content? Will you teach us how to use the website? Every time I get a question from a client during this process I add it to my template for future use. Next Steps The next section outlines what the client needs to do in order to activate the proposal and move forward. I use to send my proposals so this section tells the client to push the approved button on the website where they read the proposal (it’s very satisfying to see the email come through from Bidsketch telling you your proposal has just been accepted and usually triggers a five-minute happy dance around the office). Just like asking blog readers to leave a comment, this very clear call to action is important. In the old days, I actually had more than one client call me up and ask what we do next? Mutual Agreement The final section of my proposals is called the mutual agreement. It used to be called terms, however I found that the bit impersonal. This section of my proposals is based on, which he so kindly open sourced back in 2008. The key changes I have made to Andy’s template are that I do not host websites and that I’m not responsible for keeping their website on my development server for any longer than 30 days if they are not ready to populate their content. In a perfect world (and most of the time for me these days), the client will have already given all of their content to you before you make a start on the project or you will just do the content for them and charge them accordingly. Other Considerations Now that you have the sections and the order, there are a few other things to consider when writing your proposals. I try to keep my proposals as lean as possible. Remember a proposal is not a functional specification document. A proposal can propose that you develop a functional specification document for which you should be paid, however, a proposal is not a functional specification document. If there are multiple decision-makers in the process, I will provide a one-page executive summary that outlines the key needs of the business and audience and the key benefits of the solution I’m proposing. This can be passed around very quickly at meetings and the proposal can be referenced for greater detail. Most importantly, I will try to use the client’s language as much as possible throughout the proposal. I record my meetings with clients and have them transcribed so that I can reference their language while I’m writing the proposal. A proposal that is written in a way that resonates with your client is much more likely to be read, understood, and accepted. Stop Talking About WordPress I love WordPress. It has provided a fantastic lifestyle for me over the last eight years and I’m very grateful for the amazing community that has grown up around it. However, 95% of my clients don’t know what WordPress is and don’t care. They want a solution to their problem or help in achieving their objectives. Do you know the brand of stethoscope your doctor uses to check your heart rate? Do you know the brand of machinery your mechanic uses to tune your car? Do you know the software your accountant uses to lodge your tax returns? You get the point. I have found over the years that mentioning WordPress or the names of plugins or theme frameworks only serves to confuse the client and raises questions that they don’t need to be asking. WordPress, theme frameworks, and plugins are optimizations that this clever community has contributed to our manufacturing process. I think of them as raw materials that I add value to as a consultant. The only time I mention WordPress is if the client indicates it is important to them that we build the solution on WordPress.
